Privacy policy

What personal data we hold, why, for how long, and how to ask us about it.

1. Who is responsible

THE ALAN GROUP LIMITED, [Postal address to be added before launch], is responsible for personal data handled by Sweep. Privacy questions: finlay@getsweepmeetings.com.

2. Data about our customers (you)

Your name, work email, business name and website, the area and site types you chose, your skip list, how you want meetings arranged, your messages to us, and billing records (what you owe, per meeting). We hold your password only as a one-way hash.

We use this to run the service, bill you, and keep you informed. The basis is our contract with you.

3. Data about the people we contact

To book meetings for you we process business contact details of facility and property managers: name, job title, company, work email, and the replies they send.

We collect these from public company registers and business contact sources. We contact people about their business role only, give them a clear way to opt out in every email, and stop straight away when asked. The basis is legitimate interests in B2B outreach, balanced against the person's rights. [LEGAL REVIEW: confirm for UK GDPR/PECR (corporate subscribers) and US state laws.]

4. Who we share data with

Service providers acting on our instructions: hosting, email sending, payments (card details go to Stripe, never to us), and calendar providers if you connect one. We don't sell personal data. [LEGAL REVIEW: list processors and any international transfers.]

5. How long we keep it

Your account data while you're a customer. If you delete your account, we delete your account, workspace and meeting records straight away, keeping only billing records the law requires and a minimal note that the account was closed. People who opt out stay on our suppression list so we never contact them again. [LEGAL REVIEW: retention periods.]

6. Your rights

You can ask for a copy of your data, correction, deletion or to object to processing. Customers can download their data and delete their account from account settings. Anyone else can write to us at the address above. You can also complain to your data protection authority (in the UK, the ICO).

7. Cookies

We use a cookie to keep you signed in, and one to remember United States or United Kingdom if you choose. See the cookie policy.
